Reservation Procedures

  • Contact the office to confirm the availability of date and time desired.
  • Once date is confirmed, staff will place a no obligation 10-day hold.
  • During the 10-day period an appointment to tour the facility is strongly recommended.
  • Make an official reservation by paying the required security deposit and signing a rental contract.
  • All contract holders must be at least (21) years of age.
  • Full rental fees are due at least 60 days prior to the date of event.
  • Full rental fees and security deposit are due for reservations made less than 60-days prior to the date of event.

Reservation and Payment Schedule

For scheduled fees and rental rates, A reservation becomes official when a security deposit is paid, a rental agreement contract is signed, and the signed contract is received by the designated due date. Contracts will be deemed null and void if signed contract is not received by designated due date.) Contracted hours include the setup and breakdown time for all vendors.

Schedule For Rental Time

The schedule for the rental time should be two hours allowed for setup and decorating of the facility with one hour at the end to completely clean the facility. The actual event is about four (4) hours. Due to liability issues, no one, including the contract holder, will be allowed inside until the start of the contracted time. This includes the coordinator, florist, decorator, DJ/band, photographer, etc. If anyone enters before the contracted period, the contract holder will be held liable for his or her actions and will be charged additional fees, which will be deducted from the security deposit. The contract holder must complete and return the rental questionnaire and the floor plan to the rental office at least two (2) weeks in advance of the scheduled event. Submit rental questionnaire and floor plan by fax, mail or walk-in.
